Job Description

ITSQuest is looking for an Inspection Records Act Coordinator in the Santa Fe area. Responsibilities include records request coordination, compliance and legal review, and records processing and response.

Duties include:

  • Coordinate and ensure timely responses to IPRA requests.

  • Identify and retrieve records in written, digital, video, audio, and other formats.

  • Serve as the department's primary point of contact for internal and external stakeholders, ensuring statutory deadlines and documentation requirements are met.

  • Apply sound judgment in reviewing and redacting protected information.

  • Collaborate with management, first line supervisor, and/or legal counsel to apply statutory exceptions and ensures adherence to all laws and policies governing public disclosure, privacy, and confidentiality.

  • Maintains up-to-date knowledge of the New Mexico Inspection of Public Records Act and related statutes.

  • Manage the department's public records portal; compiles, tracks, and organizes responsive documents; drafts and issues formal responses. Utilizes multiple software applications and content management systems to process and redact materials across various media types while maintaining record integrity.

  • Knowledge, Skills, and Abilities Desired:

  • Strong understanding of the New Mexico Inspection of Public Records Act (IPRA) and related confidentiality statutes.

  • Proficiency with document management software, redaction tools, and platforms handling written, digital, video, and audio records.

  • Ability to apply sound judgment when balancing transparency with privacy and confidentiality obligations.

  • Knowledge of PII protection standards, data security protocols, and confidentiality requirements.

  • Excellent written and verbal communication skills for customer service and correspondence.

Ability to prioritize multiple time-sensitive requests and meet statutory deadlines under minimal supervision.

  • Professional discretion when handling sensitive or graphic material.

Minimum Qualifications:

Bachelor's degree from an accredited college or university in public administration, communications, criminal justice, legal studies, or a related field, and two (2) years of experience in public records management, records compliance, legal support, or public information processing. Equivalent combinations of education and experience may substitute as provided by state personnel rules.
